Why the right HVAC technician matters to project delivery

On a commercial project, an experienced technician may need to install or commission air-conditioning, ventilation and heating systems while coordinating with electricians, plumbers, BMS engineers and other M&E trades. In a healthcare environment, the requirements may include strict access controls, detailed records and carefully managed ventilation systems. In a data centre, cooling performance and resilience can be directly connected to business continuity.

1. Relevant HVAC and mechanical experience
Start with the candidate’s project history, not just their job title.
Ask what types of buildings they have worked in and what responsibilities they personally held. Look for specific evidence across environments such as:
- Commercial offices and retail buildings
- Industrial and manufacturing facilities
- Healthcare and clinical environments
- Schools, colleges and universities
- Data centres and other critical infrastructure

Separate the different types of HVAC experience carefully.
Installation may involve positioning equipment, connecting pipework, installing ductwork or ventilation components, working from drawings and coordinating with other trades.
Service and maintenance require a methodical approach to inspections, component checks, cleaning, adjustments and planned preventive maintenance.
Commissioning involves testing systems, checking operation against design intent and manufacturer instructions, recording readings, confirming controls and supporting the handover process.
Reactive maintenance demands strong diagnostics under pressure. The technician must be able to gather information, isolate the fault, work safely and explain the outcome clearly to the client or facilities manager.
Ask candidates for practical examples. What was the fault? What tests did they complete? What equipment did they use? How did they confirm the repair? What records did they produce?
3. Equipment and specialist exposure
The required experience will depend on your project. Check for relevant exposure to:
- Refrigeration and air-conditioning systems
- Split and multi-split systems
- VRF or VRV systems
- Chillers and cooling equipment
- Air-handling units and fan-coil units
- Mechanical ventilation and extract systems
- Heat pumps
- Boilers and heating plant, where applicable
- BMS interfaces and controls
- Pumps, valves, actuators and associated mechanical services
Do not assume that experience with one manufacturer or system automatically transfers to another. Where a project is built around a particular platform, manufacturer training or demonstrable experience may be important.
Requirements can also vary according to the employer, equipment, project specification and current UK regulations or industry guidance. Confirm the position with your competent person, client and project team before making it a hiring condition.
4. Drawings, schematics and commissioning records
Your technician may need to work from mechanical drawings, schematics, equipment schedules, control diagrams and manufacturer instructions.
Ask whether the candidate can:
- Interpret coordinated M&E drawings
- Identify equipment and connection points
- Follow pipework and ductwork routes
- Understand basic control schematics
- Record readings and test results accurately
- Complete commissioning sheets and maintenance reports
- Explain outstanding issues during handover
Good documentation is part of the work. If commissioning records are incomplete or unclear, the problem can resurface during client sign-off, warranty discussions or future maintenance.
5. Safe working and site procedures
Technical ability must be matched by safe working behaviour.
Discuss the candidate’s experience with site inductions, RAMS, permits, isolation procedures, PPE, working at height, manual handling, confined spaces and occupied buildings where relevant.
Confirm that they understand when to stop work and escalate an issue. A technician who pressures ahead despite an unsafe access arrangement or an unclear isolation is a risk to themselves, the project and your business.
For construction sites, check whether the required CSCS card or equivalent site card is appropriate for the role. Card requirements can vary, so verify the current project rules rather than relying on assumptions.
6. Cards, qualifications and manufacturer training
Check the credentials relevant to the actual work. Depending on the systems and responsibilities, this may include:
- A relevant HVAC, refrigeration, air-conditioning or mechanical qualification
- F-Gas certification where the role involves regulated refrigerants
- Gas Safe registration and appropriate categories where gas work is involved
- Electrical training or competence where the role includes relevant connections or controls
- CSCS, SKILLcard or another required site access card
- Manufacturer training for chillers, VRF/VRV, controls or specialist plant
- Site-specific health and safety training

Do not treat a certificate as proof of every competence. Check the scope, category, expiry date and whether it matches the work being offered.
7. Right-to-work, references and compliance

- Two or more relevant trade references
- Previous project experience
